The In-N-Out Burger Community Engagement Team has an excellent opportunity for a Charitable Events Planner in our Irvine, CA office. This position will report to the Charitable Events Supervisor and will be a key member of the core Event Planning team for both small and large-scale fundraising events; including onsite management. This person will be a team member of the Community Engagement Department, which includes the In-N-Out Burger Foundation, Slave 2 Nothing Foundation, Corporate Donations and Charitable Events teams.

Event Planner Responsibilities

  • Plan and execute all aspects of fundraising events as well as volunteer/community service projects (medium project level). Includes but is not limited to researching venues, negotiating contracts, selecting and coordinating with vendors, event budget, attendee registration and onsite staff/volunteer recruitment
  • Plan events designed to raise funds for and to promote community awareness for the In-N-Out Burger Foundation and the Slave 2 Nothing Foundation
  • Plan and execute volunteer service projects for the Community Engagement department; regional
  • Manage communication platforms for team; including best practices and team procedures
  • Responsible for researching and evaluating new event venues, vendors and technology; fundraising and event registration platforms
  • Develop event registration websites and attendee communication strategies; create and launch event website, reminder communications, reply to donor inquires, and coordinate onsite check-in procedures/ logistics
  • Coordinate event logistics; load-in and load-out schedules, event rentals, food and beverage and AV requirements, layouts and printed collateral
  • Strong Area Lead for “day-of” event logistics
  • Recruit and manage onsite staff and volunteers
  • Assist with the overall budget; staying within budget. Includes processing event invoices and payments reconciliation reports
  • Responsible for on-going communication with Charitable Events Supervisor, operations personnel regarding Service Project dates, locations, and other logistics

General Responsibilities

  • Provide general support to In-N-Out Burger Community Engagement leaders and peers
  • Responsible for developing and maintaining positive relationships with internal departments that support and contribute to our events; Travel & Events, Sign Shop, IT and Company Store
  • Responsible for maintaining event supplies, equipment, and inventories
  • Manage the In-N-Out Burger Master Vendor List
  • Provide outstanding customer service while proactively troubleshooting/problem solving
  • Proven behavior of remaining positive and team-focused while under pressure during the pre- event planning and day-of event process
  • Proven ability to work on multiple projects simultaneously while remaining organized, efficient and flexible
  • Professionally represent In-N-Out Burger in the non-profit, Foundation, and broader communities as needed

Work Schedule + Benefits

  • Full-time, Exempt
  • Office Hours in Irvine, CA: Monday-Friday, 8:00 am-5:00 pm
  • Department needs will call for occasional evenings and weekends
  • Travel time: It is anticipated that 15-25% of the work time will be spent in the field and will require overnight and weekend travel

Minimum Requirements 


  • ** Strongly prefer experience in planning non-profit and fundraising events, such as: Golf tournaments, Fundraising and Charity events, Outdoor festivals
  • A minimum of 3-5 years of experience as an active event planner, with hands-on experience in all facets of meeting planning, preferably for non-profit organizations
  • Impressive portfolio of previously managed events (e.g. non-profit fundraisers, galas, golf tournaments, concerts, weddings, meetings, parties, corporate events or service-based projects)
  • Event planning experience planning service-based, fundraising, or non-profit events a plus
  • Bachelor’s degree in hospitality or hotel management, marketing, business, public relations or relevant field is preferred
  • Certificate in Meeting & Event Management preferred, but not required
  • Event planning software experience a plus; for example: Cvent Registration or OneCause/BidPal software
  • Strong organization, time management and interpersonal skills
  • Highly motivated self-starter
  • Exceptional on-site event operation skills with the ability to analyze situations and make decisions with minimal oversight
  • Ability to work autonomously/independently yet be an integral part of an overall team environment
  • Excellent written, verbal and phone communication skills; communication with all levels of management
  • Knowledge of Microsoft Office software, including Word, Excel Publisher and Power Point
  • Sufficient online registration systems experience, fundraising managements platforms, graphic and design experience is preferred
